Time and attendance software is evolving into systems that do much more than simply add up hours worked and calculate overtime pay. Developers are introducing new functionality into the traditional timekeeping software that significantly enhances its ease of use and usability.

Earlier versions of time and attendance software performed only a couple of functions. Elapsed time between log-in and log-out was calculated automatically from each employees time clock records. If an employee worked more than eight hours in a day or more than 40 hours in a week, the software also provided an overtime pay calculation. While this type of software provided substantial benefits, it was not sophisticated enough to complete the more complex procedures desired by many employers.

Newer versions of time and attendance software also perform functions that have been allocated to payroll systems or other similar software packages in the past. Prominent among these advanced features are the ability to calculate gross pay and the ability to calculate benefit accruals.

Advanced time and attendance packages can calculate gross pay for numerous employees, utilizing each employees hourly pay rate. Pay rates may be static or they may change with the job performed, even for an individual employee. The software can handle using multiple pay rates along with shift differentials and other variables.

Employees who do shift work often experience different pay rates based on the days and hours they work. For example, if an employee has to work over a weekend, or is switched to graveyard shift for a few weeks, he or she may be entitled to a different rate of pay than normal. Sometimes it is just the pay rate that varies. In other cases, the differential is calculated by some other means, such as a percentage in addition to the normal pay rate. Shift differentials can be automatically calculated by time and attendance software, without any manual input as shifts rotate. The software can fully implement overtime policies, whether the overtime results from a holiday or is regularly scheduled.

In addition, time and attendance software has also moved outside its traditional area with the addition of benefits tracking functions. They can be set to accrue time by pay period or by some other desired criteria. Accrual amounts can be applied based on the length of service or any other conditions as defined by the employer. Special qualifications can be defined to track family medical leave as defined by the Family Medical Leave Act, o to apply special rules for new hires or first-year employees. Virtually any means of applying conditional criteria that is desired by the employer can be utilized.

These changes to time and attendance software are valuable for both employers and employees. The reporting requirements for employees are simplified, with only a minimum of reporting required. On the other hand, employers can make certain that employees are paid accurately and that their benefits accrue at an appropriate rate. Much of the need for payroll corrections can be eliminated with a functional time and attendance tracking software package.
